Café Maintenance Checklist for Dubai Owners: Stay Open, Stay Compliant

Post Details
Key Takeaways
- A good café maintenance checklist splits tasks by frequency (daily, weekly, monthly, quarterly and yearly) and by who does them: your staff, your maintenance provider or a specialist contractor.
- Daily checks are quick and mostly about food safety: chiller temperatures, handwash sinks, drains, leaks and anything that looks or sounds wrong.
- Grease traps have their own clock. Dubai Municipality's guideline requires cleaning at least twice a month by a registered company.
- AC drain pans, filters and coils need regular attention, especially in summer, when Dubai cafés run their cooling hardest.
- Keep everything in one folder. When an inspector or landlord asks, dated records are what show your maintenance is under control.
What Should Be on a Café Maintenance Checklist?
A café maintenance checklist in Dubai should cover daily staff checks on chillers, sinks, drains and leaks; weekly checks on equipment, seals and AC filters; monthly checks on drain pans, lighting and pest activity; quarterly technician visits for AC, electrical and plumbing; and the specialist tasks with fixed schedules, such as grease trap cleaning and fire system servicing.
That's the whole thing in a sentence. The trick is making it work on a busy Tuesday, when the morning rush has started and nobody's thinking about the drain under the sink.
So we've built this checklist around how cafés actually run. The daily tasks take a few minutes and fit into opening and closing routines. The bigger jobs go to technicians, scheduled outside trading hours. And the regulated tasks, like grease trap cleaning, sit on their own fixed calendar.
Print it, adapt it, stick it on the back office wall. If you want to know what a maintenance contract should cover for all this, our guide to what a café AMC in Dubai should include goes through the scope system by system.
Daily Checks (Opening and Closing)
These are staff tasks. They take five to ten minutes if they're built into the routine.
Temperatures deserve the most care. Dubai Municipality's Food Code says high-risk foods shouldn't be held between 5°C and 60°C for more than four hours. Your chillers are what keep you on the right side of that line, and a daily log is how you prove it.
Weekly Checks
Still mostly staff, though some cafés hand these to a supervisor.
- Clean AC return grilles and, where easy to reach, wipe or rinse washable filters near the door and counter
- Clean condenser grilles on under-counter chillers so they can breathe
- Check ice machine bins and surrounding areas for leaks, mould or build-up
- Test that extract fans are running and pulling air properly
- Inspect seating, door closers, hinges and handles for anything loose
- Check signage and front-of-house lighting
- Look for signs of pests: droppings, gnaw marks, insects near drains and storage
Ice is easy to overlook. The Food Code says ice that comes into contact with food must be made from drinking water, so the machine, its water supply and its filter all count as food safety equipment.
Monthly Checks
A mix of staff and technician tasks, depending on your contract.
Drain pans are worth the monthly attention. Dubai Municipality's technical guidelines for indoor air quality, written for public buildings such as malls, offices and hotels, call for drain pans to be cleaned at least monthly and HVAC systems to be inspected at least every three months. Many cafés sit inside exactly those buildings, and the same logic applies to a standalone shop. A blocked drain pan above a pastry display is the kind of problem you only want to deal with once.
Twice a Month: Grease Traps
This one runs on its own schedule.
Dubai Municipality's grease trap guideline names cafés alongside restaurants as food oil and grease producers that must have grease traps. It requires them to be cleaned regularly and at least twice a month, with extra cleaning if inspectors require it during busy periods. Cleaning and waste collection must be done by companies registered and approved for grease trap services, and the guideline forbids using acids, caustics, solvents, enzymes or emulsifiers to clean traps.
Keep every collection record. They belong in the same folder as your temperature logs.
Quarterly Technician Visits
Quarterly is a sensible minimum for most cafés in Dubai, and it's where our commercial maintenance plans for cafés and restaurants start: AC, electrical and plumbing checks four times a year, with unlimited emergency and non-emergency call-outs.
A good quarterly visit should cover:
- AC servicing. Filters, indoor coils, outdoor condensers, drain lines, thermostats and refrigerant checks where needed.
- Ventilation. Extract and fresh air fans, belts, motors and airflow.
- Electrical. Distribution board, connections, sockets, dedicated circuits for the espresso machine and ovens, lighting and emergency lighting.
- Plumbing. Supply lines, isolation valves, filter housings, drains, trap connections and water heaters.
- Refrigeration support. Condenser coil cleaning, door seals and temperature checks on each chiller.
- General repairs. Doors, ceilings, counters, sealant and minor carpentry.
- A written report. What was checked, what was fixed and what's coming up.
Twice a Year
- Water tanks. If your café has its own storage tank, the Food Code says tanks should be cleaned and disinfected at least twice a year.
- Pre-summer AC service. A full service before June, when cooling demand climbs and small faults turn into breakdowns.
- Post-summer review. A check in autumn for wear after the hottest months.
Specialist and Annual Tasks
Some jobs belong with specialists on their own schedules. Your maintenance provider can coordinate access, but shouldn't be doing the certified work itself.
The Inspection-Ready Folder
When a Dubai Municipality inspector or your mall's operations team asks how you maintain the café, you want one place to point to. Keep these together, on paper or digitally:
- Daily chiller and freezer temperature logs
- Grease trap collection records
- Pest control visit reports
- Maintenance reports and job sheets from your provider
- Fire system service certificates
- Water tank cleaning records, if you have a tank
- Equipment service records for the espresso machine and refrigeration
None of this takes long if it's filed as you go. It takes a lot longer to rebuild after the fact.
Making the Checklist Stick
Checklists fail for the same reasons everywhere: they're too long, nobody owns them, or they live in a drawer.
A few things help. Give each task a named owner, by role rather than by person, so it survives staff changes. Keep daily tasks short enough to finish before opening. Put technician visits in the calendar for the whole year at once, outside trading hours. And review the list every few months, because a new oven or a terrace extension changes what needs checking.
For multi-site groups, the same checklist across every branch makes it far easier to spot which café is falling behind. Our wider preventive maintenance checklist for commercial properties is useful if you also manage the building around your café.
How We Help Cafés Stay Open
We take the technician side of this checklist off your hands. After a site visit, we list your AC units, chillers, fans, water heaters and drainage points, then set a schedule of visits outside your trading hours, including early mornings, late evenings, weekends and public holidays. Every visit comes with a dated record for your folder.
Behind it, we bring over 20 years of maintenance work in Dubai, 50-plus certified technicians, DEWA-registered electricians and ISO-certified processes. You can see how our annual maintenance contract works across property types, or arrange a café maintenance site visit with GeeM and we'll build the schedule with you. Frequently Asked Questions
A café maintenance checklist should include daily checks on chiller temperatures, sinks, drains and leaks, weekly equipment and filter checks, monthly drain pan and lighting checks, quarterly technician visits for AC, electrical and plumbing, and specialist tasks such as grease trap and fire system servicing.
Dubai Municipality requires grease traps in cafés and restaurants to be cleaned at least twice a month, and more often if inspectors require it. Cleaning must be done by a company registered and approved for grease trap services.
A café's AC should be serviced by a technician at least every quarter, with filters near the door and counter cleaned weekly and drain pans checked monthly. A full service before summer is strongly recommended in Dubai.
A café should keep daily temperature logs, grease trap collection records, pest control reports, maintenance job sheets, fire system service certificates and any water tank cleaning records. Keeping them in one dated folder makes inspections much easier.
Café staff can handle daily and weekly checks such as recording temperatures, cleaning washable filters and spotting leaks. Electrical, refrigerant, gas, fire system and plumbing repairs should always be left to qualified technicians.
